    Job Overview

    The University of the Free State is looking for an Athletics Administrator to provide comprehensive administrative and operational support to the athletics department. The successful candidate will coordinate schedules, maintain athlete records, support sporting events, assist with financial and procurement processes, and facilitate communication between athletes, coaches, university staff and external sporting organisations.

    This role is suited to an organised and energetic professional with relevant sport administration experience and an understanding of high-performance sport environments.

    Key Responsibilities

    • Manage daily administrative activities within the athletics department.
    • Coordinate schedules and communications for coaches, athletes and staff.
    • Maintain athlete registration, eligibility and compliance records.
    • Assist with planning and logistics for competitions, training sessions and meetings.
    • Handle athletics-related correspondence, calls and enquiries.
    • Prepare reports, presentations and other documentation for the Athletics Manager.
    • Maintain databases and information systems related to athletics activities.
    • Support budgeting, purchasing and inventory management for equipment and supplies.
    • Facilitate communication between management, athletes, coaches, university staff and external organisations.
    • Ensure compliance with university policies and relevant athletic governing-body regulations.
    • Provide general administrative and operational support to ensure the smooth running of the athletics programme.

    Minimum Requirements

    Candidates must have:

    • A relevant NQF Level 7 qualification in:
      • Sport Management
      • Sport Administration
      • Sport Science
      • Administration
      • Public Administration
      • Business Administration
      • Or a related field.
    • At least 2 years’ relevant experience in sport administration.
    • A valid safeguarding certificate in sport, child protection or athlete safeguarding from a recognised sporting, educational or professional body.
    • A valid driver’s licence.

    Recommended Experience & Knowledge

    Preference may be given to candidates with:

    • Experience in a university or tertiary sporting environment.
    • Experience hosting and coordinating sporting events.
    • Knowledge of financial management.
    • Knowledge of sporting procedures and administration.
    • Understanding of sporting pathways and talent identification.
    • Knowledge of high-performance sport programmes and their administrative and operational requirements.
