    The Department of Education (Free State) invites suitably qualified and motivated candidates to apply for the position of Registry Clerk (Ref No: PS7/2025/02) within the MEC Administrative Support Sub-Directorate.

    The successful candidate will play a key role in ensuring efficient registry and record management services by handling all correspondence, filing systems, and mail operations within the MEC’s Head Office.

    Minimum Requirements

    • Grade 12 Certificate or equivalent qualification.

    Key Duties and Responsibilities

    The Registry Clerk will be responsible for:

    Registry and Mail Management

    • Providing a professional registry counter service.

    • Assisting clients and handling telephonic and written enquiries.

    • Receiving and registering hand-delivered mail and files.

    • Managing incoming and outgoing correspondence promptly and accurately.

    • Receiving, sorting, registering, and dispatching all mail efficiently.

    • Distributing official notices and correspondence on registry matters.

    Filing and Record Management

    • Opening and closing files in accordance with the departmental record classification system.

    • Ensuring proper filing, storage, tracing (both electronic and manual), and retrieval of documents.

    • Completing and maintaining index cards for all files.

    • Operating office machines related to the registry function (e.g., scanners, copiers).

    • Updating registry registers daily to ensure accuracy and compliance.

    • Processing documents for archiving and disposal following approved records management procedures.
