Job Purpose
The SHEQ & ISO Administrator is responsible for providing administrative and reporting support to the Safety, Health, Environment and Quality (SHEQ) function. The role ensures compliance with occupational health and safety legislation and ISO standards while supporting audits, incident investigations, risk assessments, training, and continuous improvement initiatives within the abattoir.
Minimum Requirements
- Grade 12 / NQF Level 4 equivalent.
- Minimum of 1 year relevant experience.
- Health and Safety qualification preferred.
- Experience in a poultry abattoir or FMCG environment is advantageous.
- Construction Regulations, NOSA, or similar training is beneficial.
- Knowledge of:
- SAMTRAC
- SHEMTRAC
- Hazard Identification & Risk Assessments (HIRA)
- Legal Compliance Assessments
- Internal or Lead Auditor certification (e.g., ISO 45001 Lead Auditor) is advantageous.
- Code B driver’s licence and reliable transport preferred.
- Willingness to work shifts, overtime, weekends, and public holidays.
Key Duties and Responsibilities
1. SHE Administration
- Provide administrative support to the SHE Officer and Health & Safety team.
- Prepare reports, documents, and meeting minutes.
- Manage internal databases, registers, and auditing systems.
- Administer the Safety, Health & Environmental Management System.
- Process accident and incident reports and maintain records.
2. Health & Safety Compliance
- Monitor compliance with occupational health and safety regulations.
- Conduct workplace inspections, audits, and risk assessments.
- Identify hazards and recommend corrective actions.
- Investigate incidents, accidents, and near misses.
- Assist with emergency preparedness and contingency planning.
3. Training and Awareness
- Coordinate safety training programmes.
- Administer training records and issue certificates.
- Conduct inductions for employees, contractors, and visitors.
- Prepare and distribute toolbox talks.
4. Safety Committee Coordination
- Coordinate monthly safety meetings by:
- Scheduling meetings
- Preparing agendas
- Recording minutes
- Collecting supporting documentation
- Assist in appointing safety representatives.
5. Contractor Management
- Ensure contractors comply with company safety regulations.
- Conduct safety inductions for contractors.
- Report non-compliance to management.
6. Incident Management
- Participate in incident investigations.
- Conduct root cause analysis.
- Develop corrective and preventative action plans.
- Manage emergencies when required.
7. Documentation and Reporting
Complete and maintain:
- Incident and Accident Reports
- Injury on Duty (IOD) Reports
- Health, Safety and Environmental reports
- Compliance registers and records
ISO Management Responsibilities
The incumbent will support and maintain integrated management systems aligned to:
- ISO 22000 – Food Safety Management
- ISO 14001 – Environmental Management
- ISO 45001 – Occupational Health & Safety Management
Key responsibilities include:
- Developing and maintaining ISO management systems.
- Conducting internal audits.
- Preparing for external certification audits.
- Implementing corrective actions.
- Maintaining ISO documentation and records.
- Training employees on ISO procedures.
- Monitoring system performance and compliance.
- Keeping up to date with changes to ISO standards.
Required Skills and Competencies
Technical Skills
