Job Overview
Old School Brand is seeking a detail-oriented and accountable Payroll Administrator to manage the complete payroll function across its Head Office, warehouse, and retail store operations.
This role is responsible for running the entire payroll cycle from start to finish, ensuring all employees are paid accurately and on time. The Payroll Administrator will collaborate closely with Store Managers, Retail Managers, HR, and Finance teams to collect payroll information, maintain compliance with legislation, and resolve payroll queries efficiently.
The ideal candidate should be organized, reliable, and capable of handling payroll responsibilities in a fast-paced, multi-site retail environment while maintaining strict confidentiality and accuracy.
Job Description
The Payroll Administrator will oversee payroll operations, ensuring compliance with statutory requirements and internal policies while maintaining accurate payroll records.
Payroll Management
Manage the full payroll process for Head Office, Warehouse, and Retail employees.
Capture and verify attendance records, clocking sheets, and payroll inputs from Store and Retail Managers.
Process new employee registrations, terminations, and payroll adjustments on the payroll system.
Calculate monthly payroll accurately and ensure timely salary payments.
Manage and maintain the time and attendance system.
Payroll Reporting & Payments
Prepare and submit monthly payroll reports as required.
Generate and submit bank payment files to the Finance team for salary payments.
Maintain detailed payroll records and audit trails for compliance and reporting purposes.
Compliance & Statutory Requirements
Ensure payroll processes comply with South African payroll legislation and company policies.
Submit statutory payroll returns, including SARS payroll submissions.
Maintain accurate documentation for audits and compliance checks.
Employee Support & Query Resolution
Handle payroll-related queries from employees and managers professionally and promptly.
Manage sensitive payroll information while maintaining confidentiality and integrity.
Support the Finance team with tasks during quieter payroll periods.
Experience & Qualifications
Proven experience managing payroll in a multi-site environment (Retail, Warehouse, and Head Office).
Strong knowledge of payroll systems and time & attendance platforms.
Solid understanding of statutory payroll compliance and legislation.
Experience independently running payroll from start to finish.
Ability to manage payroll queries and confidential employee information.
Minimum Requirements
Matric (Grade 12) – Essential
Relevant payroll, finance, or accounting qualification – Advantageous
