Job Purpose
The Temporary Administrative Assistant provides administrative and operational support to the Grain Division by processing transactions, maintaining accurate records, assisting farmers and clients, managing reconciliations, and supporting grain intake, storage, and dispatch administration. The role is critical in ensuring efficient operations while maintaining compliance with company procedures and minimizing business risks.
Key Responsibilities
Administrative Support
- Maintain high standards of administration within the Grain Division.
- Perform general office and administrative duties.
- Ensure all records and documentation are accurate and up to date.
- Assist with departmental administrative requirements.
Transaction Processing
- Process transactions according to company policies and procedures.
- Verify information before capturing transactions.
- Ensure accurate and timely recording of financial and operational data.
- Maintain transaction records and supporting documentation.
Bank Reconciliations
- Assist with the management and control of bank reconciliations.
- Verify financial information and identify discrepancies.
- Ensure reconciliation processes are completed accurately and on time.
- Report inconsistencies and assist in resolving financial queries.
Grain Administration Support
- Support grain intake, storage, and dispatch administration processes.
- Maintain accurate records relating to grain movements and transactions.
- Assist in monitoring operational documentation and reporting.
Customer and Client Service
- Assist farmers, suppliers, and clients with administrative queries.
- Deliver professional customer service.
- Build and maintain positive relationships with stakeholders.
- Ensure client requests are handled efficiently and professionally.
Risk and Compliance Management
- Follow company procedures and controls.
- Ensure compliance with administrative and financial processes.
- Minimise operational and financial risks through accurate administration.
- Maintain confidentiality of company and customer information.
Reporting and Record Keeping
- Prepare reports when required.
- Organise and maintain filing systems.
- Ensure all documentation is properly stored and accessible.
- Support management with administrative information and records.
Minimum Requirements
Qualifications
- Grade 12 (Matric) or NQF Level 4 qualification.
Experience
- Experience within the agricultural grain industry will be advantageous.
- Administrative experience in agriculture, logistics, or finance environments is beneficial.
Technical Requirements
- Strong numerical ability.
- Computer literacy with proficiency in:
