    Admin Assistant Job Description

    As an Admin Assistant in Mechanization, you will play a critical role in managing internal administrative processes within the Wholesale sub-department of Mechanization at the VKB Head Office.

    Key Responsibilities

    • Order Placement: Managing orders with suppliers for daily and seasonal stock needs.
    • Stock Control: Monitoring various stock types, including participation in hands-on stock-taking activities.
    • Financial Reporting: Weekly performance reporting for all branches (Actual vs Budgeted vs Previous Year).
    • Payments: Actioning electronic payments according to VKB policy and supplier terms.
    • Customer Quotations: Preparing and issuing quotations for whole good sales.
    • Website and Publications: Assisting in maintaining the Mechanisation website, blogs, and AgriMac publications.
    • Meeting Coordination: Organizing departmental meetings, including logistics, bookings, agendas, and minutes.
    • Travel: Willingness to travel extensively during stock-taking seasons.
    • Complaint Resolution: Coordinating and resolving customer or supplier queries and complaints.
    • Compliance: Ensuring adherence to VKB policies and procedures (e.g., GRVs and stock code maintenance).
    • Additional Duties: Handling other administrative tasks as required.

    Requirements

    1. Qualifications:
      • Grade 12 or NQF 4 (A B.Com qualification is an advantage).
    2. Experience:
      • At least 5 years of proven experience in a similar administrative role.
    3. Skills:
      • Strong communication (verbal and written).
      • Proficiency in Microsoft Office Suite.
      • Ability to work independently and collaboratively.
      • Time management and precision.
    4. Work Environment:
      • High-pressure and fast-paced environment readiness.
      • A 5-day workweek with occasional overtime.
