Job Description
Smart Workforce Solutions is seeking a highly organised and proactive Executive Assistant to provide direct support to the CEO. This remote role plays a crucial part in ensuring seamless daily operations, managing communications and schedules, and supporting the execution of strategic business initiatives across departments.
The ideal candidate will thrive in a dynamic, fast-paced environment, demonstrating strong initiative, excellent communication skills, and proven experience working with executive leadership—particularly in property, real estate, or fast-moving business environments.
Key Responsibilities
1. Email & Communication Management

Monitor, prioritise, and manage CEO’s inbox and correspondence

Draft and respond to emails on behalf of the CEO

Track key communications for follow-up and ensure timely responses
2. Scheduling & Calendar Management
-
Manage and optimise the CEO’s calendar
-
Coordinate internal and external meetings
-
Ensure CEO is well-prepared for all engagements
3. Business Operations & Planning Support
-
Assist with planning, KPI tracking, and departmental coordination

Help implement and maintain systems to manage cross-functional performance
-
Ensure follow-up on action items and deadlines
4. Project & Systems Implementation

Collaborate on systems and operational process design
-
Support rollout of new procedures, tools, or platforms
-
Identify opportunities for process improvement
5. Strategic Support

Prepare reports, presentations, and research to support decision-making

Contribute to special projects and executive-level planning

Provide insights into operational improvements and efficiency gains
6. Other Duties

Act as liaison between CEO and department heads

Handle sensitive information with discretion

Perform ad-hoc tasks as needed to support business objectives
Minimum Requirements

Proven experience supporting C-suite executives

Strong organisational and time-management abilities

Excellent written and verbal communication

High initiative and independence in a remote setting

Experience with scheduling tools, CRMs, and project management platforms

Familiarity with designing and implementing operational systems

Strong analytical and problem-solving skills
