Job Description
The Order Fulfilment Controller is responsible for overseeing the entire outbound order fulfilment process, ensuring that customer orders are accurately picked, staged, loaded, and dispatched on time. The role combines operational planning, team supervision, stock control, customer service, and logistics coordination to ensure efficient warehouse operations and high customer satisfaction.
The successful candidate will manage fulfilment teams, monitor productivity, maintain safety compliance, coordinate communication between departments, and ensure outbound operations meet company performance standards.
Purpose of the Role
To coordinate and manage all outbound logistics activities by:
- Planning daily fulfilment operations.
- Supervising picking and loading activities.
- Managing fulfilment teams.
- Ensuring order accuracy and timely dispatch.
- Maintaining stock integrity.
- Supporting customer service and operational efficiency.
Key Responsibilities
1. Planning and Operational Coordination
- Attend weekly logistics meetings.
- Analyse daily sales, retail, and inter-branch order requirements.
- Review outbound workload and dispatch plans.
- Identify load capacity challenges and communicate them to relevant teams.
- Plan daily operations using the Daily Order Tracker.
- Ensure adequate availability of:
- Equipment
- Pallets
- Packaging materials
- Consumables
2. Team Leadership and Workforce Management
- Manage staff attendance and productivity.
- Allocate employees to operational areas.
- Coordinate shift schedules and break periods.
- Conduct daily team briefings and debriefings.
- Manage leave planning and employee relations issues.
- Provide coaching, mentoring, and training.
- Ensure operator certifications remain valid and up to date.
3. Picking Process Management
- Print and distribute picking documentation.
- Monitor picking accuracy and productivity.
- Ensure correct use of Out-of-Stock procedures and signage.
- Track picking progress using operational systems.
- Conduct regular floor inspections and productivity checks.
- Monitor compliance with safety procedures.
- Analyse invoice corrections and identify improvement opportunities.
- Provide regular operational updates to teams and management.
4. Loading and Staging Operations
- Supervise staging and loading activities.
- Ensure products are loaded safely and accurately.
- Verify pallet stability, wrapping, and load security.
- Monitor pre-loading and truck preparation processes.
- Maintain cold-chain requirements during loading operations.
- Ensure efficient truck turnaround times.
- Conduct spot checks for quality assurance and security.
- Manage seal registers and vehicle loading documentation.
5. Customer Service and Communication
- Communicate stock shortages and delivery delays.
- Liaise with sales, retail, and stock management teams.
- Investigate and resolve customer complaints.
- Provide estimated delivery and loading updates.
- Coordinate with outbound administration teams to resolve operational issues.
6. Safety and Compliance
- Enforce PPE requirements and safety standards.
- Conduct regular safety inspections.
- Ensure safe operation of warehouse equipment.
- Monitor handling of company assets and equipment.
- Promote compliance with warehouse operating procedures.
7. Stock Control and Reporting
- Conduct daily stock checks in picking and loading areas.
- Monitor incorrect picks and corrective actions.
- Maintain KPI dashboards and operational reports.
- Analyse fulfilment performance and productivity metrics.
- Prepare management reports on outbound operations.
Minimum Requirements
Qualifications
- Grade 12 (Matric) or equivalent qualification.
Experience
- 3–5 years of experience in:
- Logistics
- Warehouse Operations
- Order Fulfilment
- Distribution
- FMCG Retail Operations
- Supervisory experience is highly advantageous.
