Job Overview
The Administration Assistant / PA at SmartPA provides high-impact, tailored administrative support to clients, acting as a trusted partner in delivering seamless operational solutions. Working within an agile pod structure, the role combines administrative excellence, process optimisation, and stakeholder management, ensuring client success and operational efficiency.

Key Responsibilities
1. Collaborate & Innovate

Work within agile pods to support diverse stakeholders with operational tasks and deadlines.

Contribute creative ideas to optimise processes, streamline workflows, and enhance service delivery.

Partner with team members to ensure seamless, high-quality service across client accounts.
2. Manage Key Tasks with Excellence

Handle diary management, scheduling, and email correspondence with accuracy and professionalism.

Prepare, format, and edit documents to the highest standards.

Perform accurate data entry and reporting to ensure actionable insights.
3. Support Business Growth

Identify inefficiencies and recommend improvements to processes and workflows.

Assist in automating repetitive tasks and implementing best practices across client operations.
4. Build Relationships

Act as a trusted partner to clients, anticipating needs and exceeding expectations.

Experience & Qualifications
Essential:

Proficiency in Microsoft Office (Outlook, Word, Excel).

Experience meeting tight deadlines while managing multiple priorities.

Experience in administrative tasks and project delivery.
Desirable:

Familiarity with CRM platforms and booking systems.

Background in office management, account management, or similar roles.

Experience with diary management, document formatting, and data handling.
