Job Description
The Assistant Officer: Graduate Research Management provides administrative and technical support for the Graduate Research Management (GRM) System within the Centre for Graduate Support. The incumbent is responsible for assisting with system administration, user support, reporting, testing, training, and maintenance activities to ensure the effective management of postgraduate research information and processes. The role supports staff and students through system-related guidance, troubleshooting, and operational assistance.
Key Responsibilities
Graduate Research Management System Administration
- Assist with the administration of progress reports on the Graduate Research Management (GRM) system.
- Assist with linking academic staff and postgraduate students on the GRM system.
- Support the maintenance and day-to-day operation of the GRM system.
- Ensure accurate and efficient processing of information within the system.
System Development and Testing
- Assist with the creation of Business Requirements Specifications (BRS) for system enhancements and developments.
- Participate in User Acceptance Testing (UAT) processes to ensure system functionality and performance.
- Assist in identifying system improvements and operational requirements.
Training and User Support
- Assist in developing training manuals, user guides, and support materials for various GRM system users.
- Provide induction and orientation support to staff and students using the GRM system.
- Respond to user enquiries and provide troubleshooting assistance regarding system-related issues.
Reporting and Monitoring
- Assist in generating regular reports on Graduate Research Management activities and progress.
- Support monitoring and tracking of postgraduate research information.
- Maintain accurate records and system documentation.
Stakeholder Support
- Provide support to postgraduate students, supervisors, academic staff, and administrative personnel.
- Collaborate with internal stakeholders to ensure efficient system utilisation and compliance with institutional processes.
- Assist with communication and coordination related to GRM system activities.
Minimum Requirements
Qualifications
- Grade 12 Certificate or National Vocational Certificate (NQF Level 4).
Experience
- Minimum of one (1) year’s relevant work experience within a higher education environment.
- Minimum of one (1) year’s experience working with a PeopleSoft Graduate Research Management System.
- Experience in:
- Business Requirements Specification (BRS) development.
- User Acceptance Testing (UAT).
Recommended Qualifications
- National Diploma (NQF Level 6), or
- Bachelor’s Degree, Advanced Diploma, BTech Degree, or Postgraduate Certificate (NQF Level 7).

Salary and Benefits
Salary Package
Annual remuneration package ranging from:
R240,866.45 – R403,692.54 per annum
