Position Summary:
The Nightshift Breakdown Clerk is responsible for coordinating, managing, and documenting all breakdown-related incidents within the transport fleet during night hours. This role ensures minimal downtime and operational efficiency by liaising with drivers, repair teams, and service providers to resolve breakdowns quickly and cost-effectively.
Key Responsibilities:
Breakdown Coordination:

Receive and respond to calls or notifications from drivers reporting breakdowns.

Identify the nature and location of breakdowns and determine the appropriate response.

Dispatch roadside assistance, mechanics, or towing services as required.
Communication:

Maintain continuous communication with drivers regarding repair progress.

Liaise with workshops, service providers, and suppliers to facilitate urgent repairs.

Provide updates to the Operations Manager on ongoing breakdown incidents.
Documentation & Reporting:

Record all breakdown incidents, including time, location, vehicle details, and resolution actions.

Ensure repair and service invoices are captured and submitted for approval.

Generate reports on breakdown trends, response times, and associated costs.
Cost Management:

Negotiate pricing with service providers to ensure cost-effective solutions.

Monitor and track expenditure related to breakdowns and repairs.
Preventative Measures:

Identify recurring breakdown issues and report them to the Fleet Manager for preventive action.

Ensure adherence to scheduled vehicle maintenance to minimize breakdowns.
Compliance & Safety:

Ensure all breakdowns are managed in line with company policies and road safety regulations.

Report safety concerns or incidents to the relevant department.
Qualifications & Experience:

Matric/Grade 12 certificate (essential).

Relevant qualification in logistics, transport, or fleet management is advantageous.

Minimum 1–2 years of experience in transport, logistics, or a similar role.

Knowledge of vehicle maintenance and repair processes is advantageous.
